If the application stalls, the CVM should offer support to the volunteer by:
1. Offering to assist with their disclosure application.
2. Being flexible around dates and times to do assessments, training, HSC etc.
3. Chasing up errant/late references and encouraging the applicant to do likewise
4. Keeping in regular contact with the applicant to encourage and update them.
Where the application process has stalled for more than 8 weeks the CVM should explore the issue with the volunteer and a joint decision should be made about whether to continue with the application or to ‘Switch Off' for a mutually agreed time period. If having attempted to contact the volunteer and no response has been received within 7 days the CVM should follow up.
If a volunteer application is to be ‘Switched Off’, the CVM needs to utilise the ‘Switch Off’ function on the volunteer’s ‘Supporter Overview’ under ‘Supporter Status’. The CVM needs to select the correct reason for the change in status and select the correct length of time. The database will automatically create a task for the CVM to contact the volunteer at the end of the ‘Switch Off’ period. The CVM must also record why the volunteer is on hold in the volunteer’s notes.
Volunteer applications should be processed and presented to Approval Panel within 12 weeks. Where this 12-week period is exceeded, the CVM must make an Approval Note on the database and discuss the progress with their SCVM/TL.
