- The CVM will give a brief overview of volunteer highlighting any pertinent information.
- Through discussion the panel will explore any situations or issues that might have had or continue to have an impact on the volunteer. Such discussion should result in notes which record any decisions around future matching and includes if the volunteer will need more support to start with.
- It is possible that there will be issues or unanswered questions that come up during the panel discussion. If this happens, the CVM will be expected to go back to the volunteer and find out the answers or explore these in more depth. The volunteers will not be approved until everyone is happy.
- The Approval Panel will come to a decision, through discussion, on whether an applicant is suitable to be a volunteer.
The Panel may recommend that restrictions are to be put in place, such as the volunteer is to only work with children rather than adults if they are volunteer is young or inexperienced. This must be recorded on the approval notes by panel chair. This needs to be communicated to the volunteer in the accreditation letter and in the welcome email by the CVM.
Provisos may be made i.e., 'should not be matched with a family who has been recently bereaved' or 'must not be matched with a family with a dog'. These notes will be put into approval notes by the Panel Chair. This information must then be put straight into the volunteer’s ‘Additional Info’ on their front page by the CVM. This should be communicated with the volunteer through a conversation.
If the Panel decide that it is not appropriate for a volunteer to be approved or their role is to be significantly different, this must be clearly recorded on the volunteer’s notes. The panel will decide together who is best placed to communicate personally with the volunteer.
