- All relevant notes and actions must be recorded on the database.
- Once a volunteer is approved the CVM needs to send out an accreditation letter (and mark these as completed on the DB), a Volunteer Certificate, and a card to say thank you for volunteering. The CVM should also send the volunteer a personal/informal email to congratulate them, inform them of any families in need of support, and reminding them of database login information, along with an offer of support with logging in and adding notes if needed.
Post Approval:
- When panel approve a volunteer the database should autogenerate an email from Kat welcoming them as approved volunteers, highlighting the roles they’ve been approved for. This would also include a certificate to celebrate the process they’ve gone through.
- This would subsequently trigger a task to the allocated CVM whereby they should contact the volunteer within 7 days.
- This contact is a relational one aimed at
- Welcoming them to the family
- Checking if they’ve received their email
- Capturing any feedback from the approval process
- Discussing matching them with a family.
- Volunteers should be called 3 weeks after approval to check they are getting on the database, receiving emails about families & to keep them engaged in the process. This is a good time to mention families that need a volunteer to prompt volunteer to look at emails – take on the support of a family.
Any discussion of the above should be captured as a note on the database.
