e-Referrals to Assign:
A list of referrals received through the Safe Families e-referral system that have yet to be allocated to a referral agency. These referrals can still be processed as normal but won't be allocated to the correct area in reporting.
Contacts Awaiting Acceptance:
Referrals received but not yet marked as accepted by Safe Families.
My Families:
A list of all referrals assigned to the current user.
The 'R' icon alongside certain referrals, indicates a re-referral, showing this is not the first time a family have been referred to Safe Families.
View Referrals:
A list of currently open referrals and their respective status.
Open Referrals:
This view shows all open referrals, with the dates they completed each stage of the process. It makes use of the accepted date to track the time taken at each stage and colour codes them according to whether it's within the target time.
Accepted Referrals Not yet Linked:
A clone of the Open Referral view but limited to those referrals accepted over 6 weeks ago and not yet linked to a volunteer.
On Hold Referrals:
A view of the referrals currently placed On Hold. The on hold functionality allows a referral to be marked as held for up to four weeks.
In terms of timing tracking, the clock is stopped during on hold periods.
The system tracks whether a case is held due to Safe Families, the family or the referrer.
Family Management Report:
Select a Case Manager and press Search to see an overview of cases assigned to that user.
The top box shows a table of referrals split by area and status.
The next box shows how long referrals have taken to progress through each status.
Colouring is based on the working days between a stage and the previously completed stage.
1st Visited: 3 days or less = green; 4 or 5 days = amber; otherwise red
Posted: 2 days or less = green; 3 or 4 days = amber; otherwise red
Matched: 3 days or less = green; 4 or 5 days = amber; otherwise red
Introduced: 5 days or less = green; 6 or 7 days = amber; otherwise red
Connected: 5 days or less = green; 6-10 days = amber; otherwise red
This Year's Referrals:
Similar to the View Referrals page but listing all referrals opened, starting support or closed this reporting year, regardless of the current status.
Referrals Closed YTD:
Similar to the View Referrals page but listing all referrals closed this year.
All Referrals:
Similar to the View Referrals page but listing all referrals, all time.
Safeguarding Notes:
A list of family notes that have a safeguarding flag listed against them, showing the most recent notes first.
Acknowledged Safeguarding Notes:
Similar to the Safeguarding Notes view but only showing notes that have been marked as Acknowledged by a Safe Families staff member.
Acknowledged notes have been flagged as Safeguarding notes by a volunteer but after having been reviewed, the case manager has decided that no incident, concern or additional information was present.
Rather than removing the flags, they are marked as acknowledged to reflect the fact it has been noted and read.
Out of Hours Call Notes:
A list of family notes that have a been entered with the Note Type 'Out of Hours Call', showing the most recent notes first.
This view allows Safe Families to monitor use of the nationwide out of hours mobile phone numbers manned by staff.
Upcoming Birthdays:
A list of birthdays coming up in the next 90 days for family members from cases currently open to Safe Families.
In some regions, staff also receive a task the week before any upcoming birthdays.
How Safe Families respond to upcoming birthdays is left to local discretion.
Social Care Change:
The current level of social care involvement is requested at he point of referral and at each review of the referral through the Planning & Review section.
These levels are used to track whether cases escalate, deescalate or remain stable during Safe Families involvement.
This view displays the respective levels and summary for recently closed cases.
Care Leaver Referrals:
This view relates to projects currently running in the Midlands and shows referrals which have been flagged by an admin user as a care leaver referral.
This is indicated by an additional drop down on the referral page.
Action for Children Referrals:
This view shows referrals received under the agreement with Action for Children.
These referrals are indicated by an additional drop down on the referral page and is specific to the South and South West region.
Export Cases:
This view allows Safe Families admin to export details of referrals that match a defined set of parameters to a .csv file.
Requests for exports may need to be approved depending on the role of the individual making the request.
Therapeutic Parenting Input Referrals:
A view of referrals where Therapeutic Parenting Input has been recorded as being provided.
This is indicated by an additional switch at the top of the referral page.
