A re-referral is where a subsequent referral comes in for a family already on the database. To make sure we have all of the required information about the family available in the same place, we need to join these records together.
The Merge Referral process is designed to make this as easy as possible.
The Merge Referral button can be found in the top right corner of the Referrals view against a family.
Use the dropdown to pick the record you wish to link this family to.
The families available to merge the selected record with are listed alphabetically by surname and include their family ID to make it easier to identify the correct family.
Typing the first letter of the families surname will jump to the first entry beginning with that letter.
Once the correct family has been selected, press Begin Merge to start the process.
Use the This person is... drop-down to select each record where the family member appears in both the original and the new referral. Each unique family member will be represented by a box allowing you to update their information, including any discrepancies between the referrals, before completing the merge.
The selected family member will include key information such as, name, gender, dob, relationship to lead, ethnicity, religion and email address...reading along this line of information is a good way to confirm any differences between each referral (i.e. discrepancies with the spelling of names, differences in DOB, etc...).
Once this process has been completed for each family member, press Finalise Merge to join the records together.
The address of the latest family will be saved against the merged record along with any additional contact numbers.
