QS 4.1 |
CVT and FST meet weekly for matching meetings and are involved in matching considerations to ensure a good fit for the volunteers as well as the families. Matching Meeting notes are recorded and stored securely. |

QS 4.2 |
CVT provide all the necessary volunteer information to assist the FST in the matching process. CVT and FST use relevant communication channels to ensure that every volunteer gets the information they need when they need it. |

QS 4.3 |
CVM completes 3, 10 and 18-week formal check-ins and record a summary of the conversation in the volunteer notes. These are tagged to the family notes and volunteer notes. |

QS 4.4 |
All safeguarding disclosures/flags are discussed with the CVM by the FSM to enable them to support the volunteer and be responsive to the current circumstances. Notes and the resultant actions from these conversations are recorded on the database. (These are tagged to family and volunteer page). |

QS 4.5 |
FST and CVT acknowledge when volunteers are struggling, either with a family or personally and seek to support and encourage them. Notes and the resultant actions from these conversations are recorded on the database. (These are tagged to family and volunteer page). |

QS 4.6 |
During the support of a family, volunteers are clear on the roles of the CVT and FST and the support that they will provide. This is provided through training and reminded as appropriate by staff. |

QS 4.7 |
FST review volunteer’s use of the database, particularly in regard to volunteer's note-making. Additional support and training will be facilitated by the CVT, through individual or collective training (database clinics) as required. CVT actions to support individual volunteers are recorded in the volunteer notes. |

QS 4.8 |
Where volunteer notes are not kept up to date, volunteers could be asked to pause their volunteering. Before they are asked to pause there should be evidence that this has been followed up with the volunteer, discussions should have taken place with the Line Manager and everything possible done to facilitate them in making notes. |

QS 4.9 |
CVT provide appropriate support to volunteers when their support of a family ends. |

QS 4.10 |
CVT complete and record a completion survey with volunteers within 2 weeks of the support ending. |

QS 4.11 |
One of the following SCVM/PM/PD review all low scoring completion surveys and agree actions with CVM and/or for follow up and learning. |

QS 4.12 |
Introduction meetings between the volunteer and family are planned and conducted by Safe Families staff (ordinarily a member of the FST) in a manner, and at a venue, which allows the meeting to play a significant part in engendering belonging for the volunteer and for the family. Notes and the resultant actions from these meetings are recorded on the database. |
